E-Mail: The big time-waster
E-mail has taken over your life? As a small business owner, I know rules of email in my day. The first thing I do in the morning is check my e-mail and last thing before going to bed is check my email. In between, I am monitoring to my email as an air traffic controller. I'm always looking for new mail and stop what I'm working on when I receive a notice that new mail has arrived. This is just sick! Do you have a 12 step program for addicts e-mail?
E-Mail a waste of time
The need to read email throughout the day has become a great waste of time for business. Most people have two or three e-mail accounts to double or triple time check email. A survey by America Online and Opinion Research found that 61% of people check their personal e-mail an average of three times day while at work. Add in time spent reading e-mail company that has quadrupled the time spent with e-mail.
E-mail is has taken over our lives at home and at work, because there is only a matter of reading the e-mails, we must also respond to emails. Sure we can eliminate the large amount of spam that clogs our in boxes, but then we settled on the e-mail that requires a response. We must take the time to read the message slowly, understanding the message and then organize our ideas to write a reply. It takes even longer.
E-Mail Miscommunication
Here is where things take a free fall and really eat your time. If someone stood in front of you and you're having a conversation, it would be easy to say what he meant. Te observe body language, the tone of voice and quickly know what to say and how. But e-mail is just words, without body language and tone of voice there. It's really one of the most difficult of communication, because only 7% of a message is understood by the words we use, 93% of comprehension is body language and tone of voice.
Thus, not only hard to find out what to say in an e-mail, it is difficult to find a way to say the right thing and not result in a lack of communication. You have no idea what will be the mentality of the person who will read your email. He or she could have just had a argument or an incident of road rage before getting to work and then begins to read your email. What you thought was "constructive criticism" is now interpreted as a comment to them personally vicious. You're in trouble now.
Let me reproduce this situation and imagine that elected This individual phone instead of sending an e-mail. As soon as I answered the phone sounded in her voice something was wrong and the warning bells would go off in the head. There is no way to offer their "constructive criticism" at this point. You choose a time when things were calm.
With e-mail receives no "make acquisitions." Once you send messages, they are condemned. If there is a lack of communication, you are stuck trying to do things well and more waste of time!
Getting a handle on E-Mail
Compare e-mail to a garage with tools around. You can not park car in the garage and can barely walk through the garage without tripping. But if you hang the tools on the walls can easily find the tools and what is now is organized chaos. Each tool has its place and know where to find it.
You have checked email in the same way. E-mail is a communication tool, nothing more and nothing less. It is not the smartest guy in the toolbox, but usually does the job. However, it is the only tool. Check out their other communication tools and see if they would do a better job.
Here are some guidelines to help you make decisions better communication and prevent e-mail to be such a waste of time:
* If you are angry or if you think your message will make your reader angry or sad, do not use e-mail. Use the phone or meet with the person physically. You want the advantage of body language and tone of voice.
* Ensure include all the information your reader needs to make a decision on your e-mail response. Think of things from their perspective and to imagine what need to know. The more information you include, the less likely is no lack of communication.
* Set aside specific times of the day to try your e-mail. If you want to meet all your e-mail at the end of the day, consider setting up an autoresponder telling people what you do and you can expect a response at the end of the day. If it is important that you can call.
* Only handle an e-mail once. Open, read, reply and file specific aid folder. If the time to return to an e-mail that you can have hundreds of emails to look through or, worse, not being able to find the right email.
E-mail is a love-hate relationship is here to stay. While email is our main tool of business communication, is a waste of time and can cause communication problems. Furthermore, email is an easy and fast way to communicate our message and bet that very few of us are willing to give up our attachment to it.
